Information we may collect

Information you provide directly

Depending on how you interact with Flownesis, we may collect:

  • Your full name.
  • Your email address, telephone number or other contact detail.
  • Your preferred method of communication.
  • The classes, dates, times, locations or session types you select.
  • Your time zone when it is relevant to an online session.
  • Questions, comments and other information included in your enquiry.
  • Records of our communications with you.
  • Booking, attendance and payment information when you become a client.
  • Your email address and consent preferences if you choose to join the Flownesis mailing list.

Technical information

When you visit the website, limited technical information may be processed automatically. This may include your IP address, browser type, device type, general location derived from your IP address, referring page and website security or error logs.

The booking pages may also use browser storage to remember the sessions you select while you move between weeks or continue to the final enquiry page. This information is stored on your device and helps prevent your choices from disappearing before you complete your enquiry.

You can remove these saved selections by using the Clear All option on the booking page or by clearing the website data stored in your browser.

Health and sensitive information

You are not asked to provide detailed medical records through the general website enquiry form. Please avoid including unnecessary medical information in the questions or comments field.

Before participating in certain services, Flownesis may need to ask separately about an injury, health condition, pregnancy, accessibility requirement or other information that may affect safe participation. Where this information is required, we will explain why it is needed and, where applicable, ask for your explicit consent.

Any relevant health information will be limited to what is reasonably necessary to support your participation, adapt the service where appropriate and respond to safety concerns.

Important: Flownesis movement services are not a replacement for medical diagnosis or treatment. If you are unsure whether participation is suitable for you, please seek advice from an appropriately qualified healthcare professional.

Why we use your information

Purpose Information used Legal basis
Responding to an enquiry or checking availability Name, contact details, selected sessions, time zone and message Steps requested before entering into a contract and legitimate interests
Arranging and providing a booked service Contact, booking, attendance, communication and payment information Performance of a contract
Managing payments, accounts and legally required records Transaction, booking and client record information Contractual necessity and legal obligations

Maintaining website security and functionality Technical data, security logs and essential browser storage Legitimate interests and, where applicable, legal obligations

Where we rely on legitimate interests, those interests include responding to requests, administering Flownesis services, protecting the website, maintaining appropriate business records and improving how enquiries are handled. We consider whether those interests are balanced against your rights and reasonable expectations.

Where information is required to respond to your enquiry or arrange a booking, failure to provide it may mean that we cannot contact you or process your request.

Newsletter and marketing choices

Joining the Flownesis mailing list is optional and is separate from submitting a booking enquiry.

If you choose to subscribe, your subscription is managed through Brevo . You may receive a separate email asking you to confirm your subscription before marketing emails are sent.

You may withdraw your consent at any time by using the unsubscribe link in an email or by contacting Flownesis. Withdrawing consent does not affect the lawfulness of any processing that occurred before the withdrawal.

We may retain a minimal suppression record after you unsubscribe so that we can respect your request and avoid adding the same address back to marketing communications unintentionally.

Who may receive your information

We do not sell or rent your personal information. We may share or allow access to information only where reasonably necessary with:

  • Website hosting, WordPress, technical maintenance and email-service providers.
  • Brevo, when you choose to join the mailing list.
  • The communication provider you choose, such as your email provider or WhatsApp.
  • Payment, banking or accounting providers when a payment or legally required financial record is involved.
  • Professional advisers where legal, accounting or technical support is necessary.
  • Public authorities where disclosure is required by law or is necessary to protect legal rights or safety.

These providers may process information only for the relevant service or under their own legal responsibilities. We aim to use providers offering appropriate privacy and security protections.

External services and links

The website may contain links to or features provided by external services, including WhatsApp, social-media platforms, Google services, embedded video providers and Brevo. If you open or interact with an external service, that provider may receive technical information and will process information according to its own privacy policy.

The website may load typefaces or other technical resources from third-party providers. When these resources are loaded, the provider may receive technical information such as your IP address and browser details.

Flownesis is not responsible for the privacy practices or content of external websites. You should review the privacy information provided by those services before submitting personal information to them.

Cookies and browser storage

The website may use cookies or similar browser technologies that are necessary for security, basic functionality, language preferences or remembering booking selections.

Essential technologies may operate without consent where they are strictly necessary to provide a service requested by you. Where the website uses non-essential analytics, advertising or similar technologies that require consent, you will be given an appropriate choice before they are activated.

You can also manage or remove stored website information using your browser settings. Disabling essential browser storage may affect some website functions.

International data transfers

Some technology or communication providers may process information outside Cyprus or the European Economic Area.

Where personal information is transferred to a country that has not been recognised as providing an adequate level of data protection, we will seek to rely on an appropriate safeguard, such as approved standard contractual clauses, or another lawful transfer mechanism.

How long we keep information

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, including:

  • General enquiries that do not become bookings may normally be kept for up to 12 months after the last meaningful contact.
  • Client, booking, attendance and transaction records may be retained for longer where needed to provide services, manage complaints, establish or defend legal claims, or comply with accounting and legal obligations.
  • Mailing-list information is retained while you remain subscribed. A minimal suppression record may remain after you unsubscribe.
  • Relevant health information is retained only for as long as it is reasonably needed for safety, participation or applicable legal requirements.
  • Booking choices saved in your browser remain on your device until they are cleared through the website or your browser settings.

Information may be deleted or anonymised earlier when it is no longer needed.

How we protect your information

We use reasonable organisational and technical measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

However, no internet transmission or electronic storage system can be guaranteed to be completely secure. Please avoid sending unnecessary sensitive information through a general website form, email or messaging service.

Your data-protection rights

Depending on the circumstances and subject to applicable legal conditions, you may have the right to:

  • Ask whether we process personal information about you.
  • Request access to your personal information.
  • Ask us to correct inaccurate or incomplete information.
  • Request deletion of your information.
  • Ask us to restrict certain processing.
  • Object to processing based on legitimate interests.
  • Receive certain information in a portable format where the right to data portability applies.
  • Withdraw consent at any time where processing relies on consent.
  • Object at any time to the use of your information for direct marketing.

These rights are not absolute and may be limited where we need to comply with a legal obligation or establish, exercise or defend legal claims.

To make a request, email hello@flownesisofficial.com . We may ask for information necessary to verify your identity before completing a request.

Children’s information

Children and young people should not independently submit personal information or arrange a Flownesis service through the website without the involvement of a parent or legal guardian.

Where a service is intended for a participant under 18, booking, consent and relevant participation information may need to be provided or confirmed by their parent or legal guardian.

Automated decisions

Flownesis does not use the personal information collected through the booking or enquiry process to make solely automated decisions that produce legal or similarly significant effects.

Questions and complaints

If you have a question, concern or request concerning your personal information, please contact Flownesis first so that we have the opportunity to assist you.

Contact Flownesis

Please identify your request clearly and provide enough information for us to locate the relevant records.

You also have the right to submit a complaint to the Office of the Commissioner for Personal Data Protection in Cyprus or, where applicable, another competent supervisory authority.
